How to do the everyday things

Short, step-by-step guides for the tasks you will use most, in the order most landlords need them.

Task 1

Add a property

Every shop or house you rent out is a property.

    Open Properties and add a property.

  2. 2

    Enter its name, choose Shop or House, and enter the monthly rent.

  3. 3

    Save. It is now ready to attach tenants to.

Task 2

Add a tenant

A tenant record holds the rent, dates, and deposit that drive billing and reminders.

    Open Tenants and add a tenant.

  2. 2

    Choose the property, then enter their name, phone number, and move-in date. The move-in date is when rent starts.

  3. 3

    Set the rent due day. If you leave it empty, bills fall due on the 5th.

  4. 4

    Add the security deposit and its date, the agreement end date, and the yearly increase percentage and next date if they apply.

  5. 5

    Save the tenant.

Task 3

Upload tenant documents

Keep IDs and agreements with the tenant they belong to.

    Open Tenants and open the tenant's Documents dialog.

  2. 2

    Choose a type: Aadhaar Card, Rental Agreement, ID Proof, Passport, PAN Card, or Other Document.

  3. 3

    Upload a PDF, PNG, JPG, WebP, HEIC, or Word file of up to 20 MB.

  4. 4

    Find and filter every uploaded document later from the Documents page.

Task 4

Generate this month's rent bills

One bill per tenant per month, created the same way every time.

    Open Rent Bills.

  2. 2

    Choose Generate This Month to create a bill for every active tenant.

  3. 3

    Or leave automatic generation on in Settings, and bills are created for you.

Task 5

Record a payment

Log money as it arrives, in full or in part.

  1. 1

    Open Payments and choose Record Payment.

  2. 2

    Find the tenant, or the property, and enter the amount received.

  3. 3

    Choose Cash or Online, set the date, and add a reference such as a UPI transaction ID if you have one.

  4. 4

    Save. A part payment marks the bill Partial and the balance updates everywhere, and a payment received rule, if you have one, sends the tenant a receipt message.

Task 6

See who owes what

The Rent Dues page is your follow-up list.

  1. 1

    Open Rent Dues.

  2. 2

    Read the list of rent that is overdue or due in the next 7 days, with the days late beside each tenant.

  3. 3

    Open a tenant from the list to see their details and history.

Task 7

Print a bill or receipt

Printing uses templates you can edit once and reuse.

  1. 1

    Open Settings, then Print Templates.

  2. 2

    Edit the rent bill, water bill, or receipt template and choose a paper size: 58mm roll, 80mm roll, A5, or A4.

  3. 3

    Print from your browser wherever a bill or receipt is shown.

Task 8

Set up reminders

Connect a channel once, then add rules.

  1. 1

    Open Settings, then Notifications, and choose Add channel.

  2. 2

    Connect your SMS or WhatsApp gateway, or a webhook to Zapier, Make, n8n, or Slack. Preview the message with sample data.

  3. 3

    Use Send test to confirm it works.

  4. 4

    Add a rule: choose what to watch (a rent bill, an agreement renewal, a rent increase, or a payment received), how many days before or after, who receives it, and an optional send window. A payment received rule sends a receipt message as soon as you record a payment.

Task 9

Apply a yearly rent increase

Review the new rent, then apply it yourself. Nothing is applied automatically.

    Open Tenants and find the tenant whose increase is due.

  2. 2

    Choose Apply increase and check the suggested new rent.

  3. 3

    Confirm. The property's rent is updated, unpaid bills from that date use the new rent, and the next increase moves a year on.

Task 10

Record a move-out

Close out a tenancy and the deposit in one step.

  1. 1

    Open Tenants and edit the tenant.

  2. 2

    Change their status to Past and save. A move-out prompt appears.

  3. 3

    Confirm the deposit amount refunded, which starts at the full deposit, and the refund date.

  4. 4

    Save. The tenant now appears under Past.

Task 11

Set up water billing

An add-on for landlords who bill tenants for water.

  1. 1

    Switch on the Water billing add-on under Settings, then Billing.

  2. 2

    Set your rate per 1,000 litres in Settings.

  3. 3

    Add a meter to each property under Water Meters.

  4. 4

    Use Issue Bill to look up a meter and generate this month's water bill from its latest reading.

  5. 5

    Record the payment from Payments, the same way as for rent.

Task 12

Add a team member

Give someone access to only what they need. Available on the Pro plan.

  1. 1

    Open Settings, then Team, and choose Add member.

  2. 2

    Enter their email and choose what they can access, section by section.

  3. 3

    An email with no login gets one, and an existing login is invited to your account.

  4. 4

    Change or remove their access at any time.

Task 14

Check who changed what

Every change is recorded.

  1. 1

    Open Audit Log.

  2. 2

    Browse the list to see who made each change, what changed, and when.

  3. 3

    Reminders sent, failed, or skipped are recorded in the same history.
